About the Branch/Group

The Business Operations Services division manages critical processes and services, providing end-to-end support for shared services customers. The Business Operations Services division is a centralised hub of expertise and leverages shared platforms and standardised processes to deliver high performing services to government and customers.

 

About the Role

The Victorian Government is taking action to transition to net zero emissions by 2045, and this includes a suite of initiatives to facilitate fleet decarbonisation and optimisation in support of a centralised fleet management model which will underpin the transition of the government fleet to zero emissions vehicles (ZEVs).

To deliver on these initiatives, VicFleet is seeking an experienced Fleet Leasing Officer to provide fleet management services to a range of clients, including general government departments and agencies, to guide their transition towards leasing ZEVs. Services include being responsive to client requests by providing advice on the Standard Motor Vehicle Policy and Requirements, guidance on motor vehicle selection from the Approved Vehicle List, the day-to-day operational administration of vehicle leasing arrangements, provision of quotations, ordering vehicles and processing invoices.

This position presents an exciting opportunity to support the fleet leasing arrangements and work with clients to increase their understanding of fleet vehicles and work towards the increased uptake of ZEVs in the government fleet to achieve the Government agenda to transition the Government fleet by 2035.

The ideal applicant will have extensive fleet leasing experience, knowledge of vehicles, exceptional customer service and administrative skills in support of the overall VicFleet team plans. Experience in the Government sector would be highly regarded but not essential. The position will enable the occupant to display their broad skills in fleet leasing, fleet purchasing, customer service, time management and interpersonal skills.

 

Key Accountabilities 

  • Provide support and advice to clients on all aspects of vehicle selection and leasing to ensure compliance with the Standard Motor Vehicle Policy and Requirements.
  • Administer all operational and administrative aspects of vehicle leasing and purchase arrangements, including providing quotes, ordering, reconciling delivery acceptance forms and processing invoices.
  • Proactively follow up scheduled and late deliveries with vehicle dealerships and invoice approvals from customer agencies for timely payment.
  • Establish and maintain effective working relationships with a range of clients from general government departments and agencies, representatives from the motor vehicle industry, contractors and suppliers to ensure the timely delivery of leasing vehicles.

 

About You

We are seeking applicants who have demonstrated experience from the following criteria:

  • Demonstrated experience in fleet leasing and or fleet management including vehicle selection and lease management, and a good working knowledge of the motor vehicle industry, leasing and vehicle product knowledge.
  • Well-developed organisational skills with demonstrated ability to set priorities, manage tasks under pressure whilst delivering excellent customer service.
  • Demonstrated ability coordinating concurrent activities whilst balancing priorities and a commitment to internal policies within tight timeframes.
  • Well-developed interpersonal skills and communication skills (written and verbal) with an ability to liaise and negotiate effectively with clients, stakeholders and external suppliers.
