The Operations Group delivers frontline customer services to Victorians and the public service. It maintains the foundational digital infrastructure and platforms that support efficient, secure and reliable service delivery.

About the role
The Grant Services Officer coordinates and supports the end-to-end delivery of grant programs, including scheduling, reporting, assessments, payments and stakeholder communications, ensuring activities are delivered accurately, efficiently and in line with policies and timeframes. The role supports consistent grants administration practices, uses systems and data to monitor performance, identify risks and inform improvements, and works collaboratively with internal teams and stakeholders to improve service quality, efficiency and customer outcomes.

Key Accountabilities:

  • Coordinate grant program activities, supporting the timely and accurate delivery of assessments, program tasks and services in line with policies, procedures and agreed timeframes.
  • Support governance, risk and compliance activities, monitoring issues and risks and escalating matters as appropriate to support effective program delivery.
  • Assist with budget and financial administration, monitoring expenditure, maintaining accurate records and supporting reporting across grant programs.
  • Coordinate process improvements, contributing to the development and implementation of consistent practices that improve service quality, efficiency and reduce delivery risks.
  • Coordinate stakeholder engagement, working collaboratively with program owners and internal and external stakeholders to resolve issues, share information and support successful program outcomes.

 

About You 

To be successful in this role, you will need to possess the following attributes:

  • Experience in supporting a range of complex programs and/or projects and multiple priorities across multiple business functions.
  • Previous experience in the delivery of government grant programs (using the Salesforce grants management system (GEMS) or similar will be highly regarded).
  • Proficiency in Microsoft 365 tools - Excel, PowerPoint, Word, Outlook, and Teams is required. 
  • Established project and program management expertise, with a proven track record of delivering complex projects within agreed scope, timelines, budgets and governance requirements.
  • Strong understanding of government program management and planning capability, including governance, risk, probity, financial oversight and the development and implementation of effective service delivery frameworks and plans.

This is a Fixed Term position available for a period of 12 months and is only open to applicants with relevant rights to work in Australia.
