About the Role
This is a Fixed Term Position until 31 December 2025
The focus of the role is to coordinate the workflow of the Statutory Planning Referral team and respond to low-risk planning applications (Triage applications). You will be working mainly with the Statutory Referral team in the Barwon South West Grampians Region. This role is also responsible for analysis/ interpretation and presentation of the statutory planning team’s incoming and outgoing data. This role requires excellent oversight of the priorities of the Team and an ability to manage strong and competing demands for time and attention. The role requires a self-managing organiser with the ability to provide support to the team, as well as Management.
Position Accountabilities
- Provide administrative support and assistance to Statutory Planners within the Barwon South West Grampians team, specifically administering the regions generic email inbox.
- Monitoring and reporting of incoming applications/enquiries etc and preparation of decision outputs of the Barwon South West Grampians Statutory Planning team
- Assist the team in managing, assessing and responding to Property Enquiries as well as the Works Within the Road Reserve/Consent duties.
- Assist the Team Leader(s) with Statutory Planning team’s internal process and procedural improvements with a culture of Continuous Improvement.
- Informing internal and external stakeholders on the Statutory planning process under the Head, Transport for Victoria.

Qualifications & Experience
- Business Administration Qualifications and/or relevant lodgements and allocations of Referral applications and statutory planning related documentations within Local and/or State government agencies (mandatory).
- Ability to respond to low-risk applications (triage applications) within the Statutory Planning referral team with minimal supervision and competing timelines (desirable).
- Ability in the preparation of weekly and monthly reports capturing incoming applications/enquiries and outgoing referral decision using MS Office, TRS, Spidre and VicMap (desirable).

Travel between offices may be required and overnight stays may be required.
