The Victorian Health Building Authority (VHBA) is responsible for the rollout of the Victorian Government's multi-billion-dollar health capital projects. We're delivering world-class health facilities across Victoria including new public hospitals and emergency care, community health services, ambulance branches, residential aged care and mental health facilities. VHBA also provides technical support across engineering, property, asset management and environmental sustainability disciplines.
The Opportunity
The Administrative Coordinator will be a member of a small team within the Office of the Chief Executive Officer, providing support for essential business functions and divisional priorities. This team works collaboratively across a range of areas, including administration, executive and ministerial coordination, communications, events, and Cabinet and Parliamentary processes. This position will involve administrative, project, and executive support to ensure the smooth functioning of the branch and broader division. You will also have the opportunity to support all stages of divisional projects, including report preparation, workflow management, and assistance with contract admin.
Key aspects of the role include:
- Support the provision of advice to stakeholders and contribute to the preparation and presentation of reports, briefs, and submissions on a variety of issues.
- Manage and improve office processes and maintain systems for records, finance, and ministerial correspondence.
- Support the research, analysis, implementation, and delivery of projects ensuring they meet desired outcomes, timelines, budgets, and departmental objectives, while contributing to their ongoing monitoring and review!
We are looking for:
- Ability to maintain strict confidentiality when dealing with sensitive organisational, personnel, or strategic information, using sound judgment and discretion in line with privacy and governance requirements.
- Pays close attention to detail, identifies information gaps, recognises logical patterns, and highlights practical aspects of plans and activities.
- Experience in infrastructure projects and managing administrative functions will be highly desired.
