About the Role
This is a Fixed Term Position until 31/12/2025
The Business Support Officer (BSO) delivers high-level administrative support to the Transport and Planning Ministerial Offices on behalf of the Governance and Portfolio Services Division. The role is responsible for providing excellent customer service and developing strong working relationships across the Minister’s Office, the Department, and with other Ministerial Offices, agencies, and stakeholders as needed.
Working with minimal supervision, the BSO manages both written and verbal correspondence and collaborates closely with Departmental Liaison Officers (DLOs) and key Ministerial staff. The role requires a high level of sensitivity when dealing with public, staff, and Ministerial matters.
The position ensures critical deadlines are met by effectively coordinating meetings, events, and support services. It also plays a key front-of-house role, handling incoming calls and greeting guests in a professional and courteous manner.

Position Outcomes / Accountabilities
- Responds to a wide range of face-to-face, written, and telephone enquiries related to Ministerial queries, processes, and protocols.
- Assists DLOs in coordinating the workflow of ministerial briefings and correspondence, including reporting, printing, and prioritising urgent matters.
- Delivers professional and courteous customer service to Ministerial staff, departmental staff, and members of the public.
- Builds and maintains strong working relationships with key departmental and agency staff.
- Collaborates closely with DLOs to support continuous improvement of systems and procedures.
- Provides high-quality, timely administrative support with a professional approach to ensure efficient management of the Minister’s office.
- Offers administrative and divisional support to the broader Governance and Portfolio Services Division, as needed.
- Promotes and supports a safe, inclusive, and flexible team environment.
- Undertakes other duties consistent with the employment classification, skills, and capabilities in accordance with Section 31A of the Public Administration Act 2004 (Vic).
Key Selection Criteria
The Department of Transport and Planning is seeking a highly organised and proactive Business Support Officer (BSO) to join our team. This role offers a unique opportunity to contribute to high-level administrative support in a fast-paced and confidential environment that directly supports the Minister’s office and broader departmental functions.
As a key member of the Governance and Portfolio Services Division, you will assist in managing ministerial briefings and correspondence, liaising with departmental stakeholders, and ensuring critical deadlines are met. The ability to work independently, juggle competing priorities, and maintain attention to detail is essential. Proficiency in digital tools such as Microsoft Office and SharePoint, combined with a willingness to improve processes and contribute to team success, is also highly valued.

Qualifications and Experience
Mandatory
- Knowledge of or familiarity with the workings of Government the role of the VPS in supporting the Government would be an advantage.
- Experience in the use of the Government eBriefings system (or similar).
