Metro Tunnel Project Office, Victorian Infrastructure Delivery Authority (MTPO, VIDA) is the Victorian Government body responsible for the delivery of the Metro Tunnel. MTPO, VIDA is responsible for all aspects of the project, overseeing the final stages of construction, testing and commissioning to get ready for opening in 2025.

Victorian Infrastructure Delivery Authority comprises of Level Crossing Removal Project (LXRP), Metro Tunnel Project (MTPO,VIDA), Major Road Projects Victoria (MRPV) and Victorian Health Building Authority (VHBA).

About the Role

MTPO, VIDA is seeking a Communications Support Officer. This role will be responsible for providing high-quality support and assistance to the Deputy Director, Corporate Affairs and the broader Corporate Affairs team in the areas of marketing, brand, media, digital and video. The role will provide team support and administration in a range of areas including events support, media / social media monitoring, records management, report and presentation coordination, diary and meeting management. The role requires strong communications and organisational skills including the ability to manage and prioritise a range of tasks in a fast-paced environment.

Key Accountabilities

  • Provide communications and administrative support to the Deputy Director, Corporate Affairs and the marketing, brand, media and digital teams including diary management, preparing documents and reports, media and social media monitoring and reporting, image gallery uploads and other general tasks as required. 
  •  Organise and set up meetings, briefings and presentations including issuing invitations, preparing materials, organising venues, taking meeting minutes, booking transport, safety documentation and catering.
  • Assist with planning and coordination and actively participate in a range of communications and engagement activities including community events, activations, presentations, pop ups and other promotional events. 
  • Assist in coordinating a range of project communications collateral for Metro Tunnel HQ and other community and stakeholder events. 
  • Support management of MTPO’s internal communications mailbox, responding to queries and actioning story ideas including preparing content for internal communications channels.
  • Assist the team with managing financial and business support services including sourcing quotes, processing invoices, regular reporting, contract administration and managing procurement documentation. 
  • Manage and maintain local records and document management databases and assist team members with electronic records management.
  • Contribute to the preparation of marketing plans, briefings, reports and presentations for the teams.
  • Assist the marketing team at events.
