VIDA Health (Victorian Health Building Authority) is responsible for the rollout of the Victorian Government's multi-billion-dollar health capital projects. We're delivering world-class health facilities across Victoria including new public hospitals and emergency care, community health services, ambulance branches, residential aged care and mental health facilities. VIDA Health also provides technical support across engineering, property, asset management and environmental sustainability disciplines. 

 

The Opportunity

 

Are you energised by working in a small team in a fast-paced environment where you support leaders in large divisions to focus on the things that matter? Do you look at systems and processes and think I can make that more user-friendly and efficient? Do you want to make a difference to Victorians by supporting the planning and delivery of the state’s largest health infrastructure projects? We are looking for a Coordinator to join our team the, Office of the CEO division to provide administrative support where you’ll proactively identify and solve challenges that impact the division while maintaining systems to track progress, share information, and enhance collaboration for your team.

 

Key aspects of the role include:

  • Under limited supervision, prepare written material, proof-read and edit presentations, reports, briefs and correspondence, ensuring materials are high quality and fit for purpose.
  • Support divisional staff by providing advice and guidance on organisational and internal IT systems.
  • Provide secretariat and governance support to committees, working groups and meetings, including tracking actions and ensuring their completion.

 

We are looking for:

  • Proven experience providing high-level executive support to a senior executive, including proactive diary and meeting coordination, prioritising and triaging competing requests, preparing and quality-assuring correspondence and briefing materials, and exercising sound judgement and discretion when handling sensitive and confidential matters.
  • Strong interpersonal and written communication skills, with the ability to engage effectively with diverse internal and external stakeholders.
  • Demonstrates strong problem‑solving skills by interpreting existing guidelines, analysing available information, consulting where appropriate, and identifying additional information needed to make informed decisions.
