About VIDA
The Victorian Infrastructure Delivery Authority (VIDA) is a specialist project delivery organisation, responsible for delivering Victoria’s major transport, health and community safety infrastructure program.
This multi-disciplinary program includes more than 200 projects including the North East Link, removing level crossings, Melbourne Airport Rail Stage 1, new and upgraded hospitals specialist programs such as the early parenting centres expansion and upgrade program and community safety projects including Corrections and Emergency Services.
The unprecedented program of works brings together expert skillsets to deliver crucial health, community safety, and major transport projects, and ensures that operations are streamlined and efficient while delivering better outcomes for Victorians.
Led by the Director-General, VIDA is comprised of the five project offices, VIDA Road, VIDA Metro, VIDA Rail, VIDA Health and VIDA Community Safety.
VIDA is established as an Administration Office under the Public Administration Act 2004 as a specialist organisation.
About this Opportunity
The Coordinator, Safety provides high-quality coordination and administrative support to VIDA Services’ Safety function, helping to ensure the effective organising, progression and monitoring of safety-related activities across the team. Reporting to the Executive Director, Strategic Safety, deliver confidential executive and administrative support, coordinate key business processes and maintain accurate records and documentation.
Strong attention to detail and the ability to organise and agilely prioritise work activities. Support a broad range of functions including diary and meeting coordination, mailbox management, procurement and contract administration, training support, intranet updates and safety incident administration. Work across a complex and fast-paced environment, liaising with internal and external stakeholders to support service delivery outcomes and ensure key activities are progressed in a timely and professional manner.
Strong organisation, sound judgement and the ability to manage competing priorities will be critical to success in this role. Contribute to the smooth operation of the Safety team by supporting consistent processes, maintaining high-quality documentation and helping deliver responsive and effective administrative support across the function.
About You
An organised and proactive coordinator with experience providing high-quality administrative and coordination support in a safety, operational or similarly complex environment. Brings strong attention to detail, sound judgement and the ability to manage changing priorities while maintaining confidentiality, professionalism and accuracy.
Confident building rapport and working with a broad range of stakeholders and supporting senior leaders in a fast-paced environment. Comfortable coordinating business processes, preparing written materials, managing records and keeping work moving across multiple priorities with a strong focus on quality and service delivery.
You’ll bring:
- Demonstrated experience providing administrative and coordination support in a safety, operational or related environment.
- Strong organisational skills, with the ability to prioritise competing tasks and respond to changing priorities.
- Well-developed written and verbal communication skills, with the ability to prepare clear, accurate and audience-appropriate materials.
- Experience coordinating meetings, correspondence, records and documentation with a high level of accuracy and attention to detail.
- A collaborative and professional approach to stakeholder engagement, with the ability to build positive working relationships across a range of settings.
- Strong judgement, discretion and the ability to handle sensitive information appropriately.
Key Selection Criteria
- Demonstrated experience providing high-quality administrative and coordination support in a safety or operational environment. Strong capability in using the Microsoft Office suite and maintaining accurate, compliant records and document management systems
- Demonstrated ability to work effectively in a changing environment by responding constructively to shifting priorities and emerging issues. Shows openness to new ideas and approaches and adjusts work practices to support business and safety requirements.
- Proven ability to build rapport and work cooperatively with colleagues and stakeholders to achieve shared safety and organisational goals. Actively shares information across teams, engages constructively to resolve issues and supports others during periods of pressure or change.
- Demonstrates insight into how emotional responses may present in the workplace and the impact they can have on others. Recognises workplace challenges as a normal part of work and applies appropriate strategies to manage pressure and maintain professionalism.
- Demonstrates polite, professional and respectful behaviour when interacting with internal and external stakeholders. Understands stakeholder needs and perspectives and adapts communication style and approach to support effective service delivery and positive working relationships.
- Demonstrated ability to coordinate and deliver work tasks against agreed plans and deadlines. Uses judgement to prioritise work where plans are not defined, based on urgency and impact and maintains accurate records to support project and safety activities.
- Ability to organise and present information clearly and logically using concise, audience-appropriate language.
- Produces high-quality written materials with strong attention to detail and effective use of formatting to support clarity and understanding
