About the role

This is a fixed term position till June 2026

The Departmental Liaison Officer provides high-level support to the Minister’s Office by coordinating ministerial briefings, correspondence, cabinet matters and parliamentary business. Acting as a key conduit between the Minister’s Office, the Secretary and the Department, the role ensures the efficient flow of complex information and advice. Working with limited supervision, the position manages communication channels, tracks ministerial requests and coordinates records and responses. The role also plays a strong quality assurance and continuous improvement function, ensuring documentation and processes meet required standards and protocols.

Position accountabilities

  • Facilitate strong working relationships between the Minister's office and the Department as well as other ministerial offices.

  • Manage and coordinate administrative and communication requirements and protocols between the Minister's office and the Department.

  • Provide quality assurance for briefings, correspondence and other documentation from the Department.

  • Contribute to strategies and solutions for effective management of information between the department and ministerial offices.

  • Assist and advise the office of the Secretary, senior departmental officers and ministerial staff on relevant administrative and other matters.

  • Uphold VPS values, acceptable behaviours and contribute to a positive team culture within the Minister’s office

Key Selection Criteria
Success in this role requires the ability to build and sustain relationships by working collaboratively across teams and proactively adding value for stakeholders. The role calls for sound judgement and critical thinking to interpret guidelines, resolve issues and prioritise work effectively, while maintaining accurate records and delivering tasks against agreed plans. A strong focus on innovation and continuous improvement is essential, including seeking feedback, leveraging existing systems to improve quality and efficiency, and adapting communication and approaches to meet diverse stakeholder needs in a fast-paced environment.

Qualifications and experience

Desirable

  • Understanding of the functions and operation of government, including Cabinet, Parliament, and procedures associated with legislation, together with experience in the public sector.

  • Knowledge of or familiarity with the Transport Sector and/or Planning policy environment.

  • Experience in the use of Microsoft Office 365 and Government eBriefings system or similar
