About the role

Key Selection Criteria
To be successful in this role, the ideal candidate will demonstrate extensive experience in executive support and office management within complex environments, with proven ability to manage sensitive and confidential information while communicating effectively. Strong knowledge of the Victorian public sector, combined with highly developed written and verbal communication skills, advanced computer proficiency, and strong planning and organisational capabilities, are essential to succeed in this role.

Position accountabilities
The Department of Transport and Planning (DTP) is responsible for shaping a safe, reliable and accessible transport system for all Victorians. We are seeking an experienced Executive Assistant to provide high-level administrative and executive support to the Executive Director, Public Transport Ticketing (PTT), and the wider PTT Executive Team.


In this role, you will manage complex scheduling and logistics, ensuring the smooth coordination of meetings, travel, expenses and business operations. You will be responsible for the preparation, editing and management of correspondence, reports, briefings and presentations, as well as overseeing the timely flow of parliamentary, ministerial and cabinet materials.


As the key point of contact for the Executive Director and PTT Executive Team, you will handle sensitive and confidential information with discretion, ensuring effective communication and information flow across the division. You will also research and investigate issues on behalf of senior leaders, preparing accurate and timely advice to support informed decision making.


This position also provides leadership and direction to support staff, guiding office processes and ensuring consistency in administrative practices across the division. Your role will be central in delivering specialist business administration services, offering advice and assistance to team members while ensuring high standards of service delivery.


To be successful, you will demonstrate strong organisational skills, excellent written and verbal communication, and the ability to manage competing priorities under pressure. A sound understanding of executive support in a complex environment, coupled with discretion, initiative and advanced computer skills, will be essential.

Qualifications and experience 

Desirable
•    Experience directly supporting senior management or an executive. 
•    Previous government experience.
