About the Role

Job Location: 1 Spring Street, Melbourne

This position provides high level executive support to the Deputy Secretary, Network Design and Integration. The position requires the incumbent to demonstrate high level interpersonal and stakeholder management skills, including the capacity to liaise with a wide range of internal and external stakeholders on behalf of the Deputy Secretary, including the Ministers Offices and the broader transport portfolio agencies.

The Executive Assistant is supports the coordination, monitoring, reporting and information management for the Deputy Secretary’s Office.

The role ensures that timely, accurate, consistent and appropriate information is provided to various stakeholders and government authorities.

The role is required to manage the associated risks, meet strict timelines and work with key staff to continually improve business practices, to respond to issues as they arise related to the Department of Transport and Planning, Network Design and Integration Executives and Minister Offices. 

The Executive Assistant is responsible for the effective and accurate flow of information to and from the Deputy Secretary’s Office and ensuring effective utilisation of the Deputy Secretary’s time through strong diary management. This role requires an excellent, innovative, self-managing organiser with the ability to work closely with colleagues and handle a busy dynamic work environment.

  • Can communicate clearly and build strong relationships with stakeholders at all levels, handling sensitive matters with discretion.
  • Has strong organisational skills, works independently, and uses initiative to solve problems and manage competing priorities.
  • Can manage issues, and prepare clear reports and presentations.
  • Has the ability to provide sound advice, respond to risks, stay calm under pressure, adapt to change, and work collaboratively using digital tools.

Qualifications and experience 

You’ll bring: 

  • Extensive knowledge and established track record in the application of parliamentary and government processes. (Mandatory)
  • Advanced level competency in Microsoft Word, Excel, PowerPoint and Outlook. (Mandatory)
