VIDA Health (Victorian Health Building Authority) is responsible for the rollout of the Victorian Government's multi-billion-dollar health capital projects. We're delivering world-class health facilities across Victoria including new public hospitals and emergency care, community health services, ambulance branches, residential aged care and mental health facilities. VIDA Health also provides technical support across engineering, property, asset management and environmental sustainability disciplines.  

 

The Opportunity 

 

VIDA Health is looking for a Executive Officer to manage the systems, workflows and communications of the CEO’s office and be the first point of contact for key internal and external stakeholders. The Executive Officer is the fulcrum of the CEO’s office – driving seamless operations, coordinating critical advice and information flows and shaping the interface between VIDA Health and key Government stakeholders.  

 

Key aspects of the role include: 

  • Executive support and issue managementManage the prioritisation of the CEO’s time and commitments to facilitate a focus on strategic priorities, timely and informed decisions, delegation where appropriate, and effective communication across the business. 

  • Operational oversight and systems leadership: Oversee and implement systems and processes to ensure an efficient and consistent flow of high-volume briefings, submissions, and correspondence and consequential communication of feedback and decisions. 

  • Judgement and problem solving: Identify and actively manage emerging issues and areas of risk and support the CEO to prioritise and progress urgent matters. Be proactive, identifying and solving problems and potential problems that impact the CEO function. 

  • Stakeholder, leadership and cultural contribution: Build respectful relationships with stakeholders and clients and actively listen to feedback or concerns. Contribute to maintaining good relationships with key internal and external stakeholders and clients and professionally represent VIDA Health and VIDA Health’s views. 

 

We are looking for:  

  • Exceptional interpersonal and communication capability – able to read context, engage with empathy, build trust and produce high-quality written materials across briefs, reports and correspondence.  

  • Proven executive-level administrative expertise – expertise and demonstrated extensive experience in providing high-quality administrative and support services to a senior executive in a complex, fast-paced, high-volume environment.  

  • Strong analytical, problem-solving and systems thinking – able to interpret information from multiple sources, identify risks, propose practical solutions and establish effective tracking and workflow systems.  

  • High initiative, resilience and adaptability – consistently delivers high-quality work under pressure, takes ownership of outcomes and adjusts quickly to shifting priorities.
