About the role

The Governance and Reporting Coordinator will be key to well-functioning governance for the Registration & Licencing Management division to ensure there are defined paths for matters related service and project delivery, data protection, commercial arrangements, resource prioritisation and assurance activities can be considered and escalated to the appropriate governance forum.


The role will involve the high-quality preparation and coordination of governance materials and all supporting activities such as maintaining records of meetings, agendas and the taking and distribution of minutes.

Position accountabilities
The Department of Transport and Planning is seeking a Governance & Reporting Coordinator to support the effective operation of governance and reporting functions across the organisation. In this role, you will coordinate joint governance forums with the VicRoads Joint Venture and internal Registration & Licensing Management forums, ensuring issues are identified and resolved through consultation and negotiation with senior stakeholders.


You will assist executive and VPS staff in the preparation of briefings, reports, and governance materials, maintaining accurate records of meetings, agendas, and minutes. The role also involves coordinating communications and reporting across the division and the broader department, providing clear, credible advice that reflects a detailed understanding of the VicRoads Joint Venture and DTP’s role in its management.


The ideal candidate will demonstrate strong skills in stakeholder engagement, consultation, and negotiation, with the ability to manage complex issues and deliver accurate, high-quality governance documentation. This is an opportunity to contribute to the effective oversight and administration of critical transport initiatives, while supporting senior leaders in achieving strategic outcomes.


 
Qualifications and experience
Strong technical skills across Microsoft SharePoint and enterprise tools is desirable, as is governance experience within the public and/or private sector.
