Planning and Land Services is a Group within the Department of Transport and Planning, and manages the state’s planning, land use, and property systems as well as assessment of environment, heritage and development matters. The Group administers statutory planning responsibilities and facilitates urban development and is responsible for a number of significant Statutory Authorities and Administrative Offices including Planning Panels Victoria.  

The State Planning Division provides development of planning policy, emergency recovery coordination, administration of statutory planning processes relating to planning scheme amendments, planning permit applications, and environmental impact assessments including major infrastructure project assessments and approvals and implementation of planning reform.   


About the Role

The Planning Support Officer is part of the Statutory Planning Services team and will provide high quality and timely administrative project and business support to the team and the branch more broadly. This includes coordinating recruitment, contract management, procurement, business operations and administrative support.

The Planning Support Officer is naturally organised, with a proven ability to work in a methodical manner when evaluating information, and providing administrative, research, process, system and quality assurance support in the delivery of statutory decisions within required timeframes and to required standards.

We are looking for a motivated individual with strong communication and interpersonal skills who can deliver clear, engaging presentations, respond effectively to stakeholder needs, and maintain professionalism in all interactions. The ideal candidate will be outcomes-focused, collaborative, and capable of applying critical thinking to solve problems and contribute meaningfully to team and organisational goals. 

 

Position Outcomes / Accountabilities 

•    Provide efficient and timely project and administrative support including drafting project plans, coordinating tasks, information management, financial management, procurement, and contract management.
•    Under direction, assist in the maintenance of project schedules and work breakdown in consultation with the project team and support learning and development Branch activities.
•    Provide accurate advice and support in relation to procurement processes and requirements, consistent with policies and procedures, including raising purchase orders and related documentation.
•    Support stakeholder engagement activities including scheduling and coordinating meetings and workshops, preparing agendas and minutes, distribution of meeting papers and follow up of actions arising from meetings.
•    Develop, implement and maintain efficient project administration systems including document tracking and control and proactively creating and implementing new systems to streamline processes as required.
•    Establish and maintain effective working relationships including through ongoing communication with key stakeholder both internal and external to the Department.
•    Provide administrative and recruitment support for the Statutory Planning Services Team.
•    Work flexibly and collaboratively across the Group to deliver priorities and initiatives as required.
•    Practice cultural safety by creating environments, relationships, and systems free from racism and discrimination so that people can feel safe, valued, and able to participate.
•    In line with Section 31A of the Public Administration Act 2004 (Vic) other duties may be assigned consistent with employment classification, skills, and capabilities.

 

Qualifications and Experience

Mandatory 
•    Demonstrated relevant experience in an administrative support position, including attention to detail and accuracy.  
•    Demonstrated intermediate proficiency in Microsoft Office (Word, Excel, and PowerPoint), email management and internet.  

Desirable 
•    Proficiency with Microsoft Project and Visio.
