About the role

 

There are 2 x Ongoing full time positions available

 

The Project Support Officer role sits within the People Change and Engagement branch of People and Culture and is responsible for providing high level business administration and support services to the branch. This support will facilitate effective project management and delivery, and administration of business systems and applications for critical service delivery. 

The role will support all members of the team in a diverse range of administrative duties, with a lens to identifying opportunities for improvements and efficiencies across the branch.

They will apply critical thinking and sound judgement to interpret guidelines, solve problems, and deliver projects through clear planning, coordination, and monitoring, while continuously seeking opportunities to improve quality and efficiency. Success in the role also relies on digital and financial capability, with the ability to guide others in the use of systems and technology and oversee accurate financial operations and short-term forecasting to support effective service delivery.

Position accountabilities

 

  • Provide high-level business and change administration support, including tracking milestones, maintaining change materials and intranet content, managing the change mailbox, documenting alternative proposals, and responding to employee enquiries.
  • Support the development and maintenance of change documentation, including reviewing workforce and position data, producing organisational charts, updating position descriptions, and preparing presentations and communications.
  • Deliver high-level project support by developing and maintaining project management processes, documentation, monitoring, and reporting to support effective delivery.
  • Work collaboratively across the branch to identify and implement improvements to key services, processes, and systems.
  • Contribute to divisional and branch projects that support best-practice people change policies, processes, and programs, and undertake other duties as required in line with legislation and classification.

 

Qualifications and experience

 

  • Mandatory: Demonstrated experience in providing project and business support in a dynamic and complex organisational setting
  • Desirable:Demonstrated understanding and knowledge of Victorian public sector business systems processes and structures
