About the Role
Job Location: Melbourne CBD/Ringwood
The Accounts Payable Officer provides quality support to the Senior Accounts Payable Officer and the Accounts Payable (AP) function. The position ensures that the Department’s Financial Delegation and financial governance policies and processes are adhered to. The Accounts Payable Officer is responsible for supporting the AP function including general duties of triage of invoices, dashboard management, invoice to PO matching, credit memo applications, processing of non order and bulk invoices and general AP query responses.

Position Outcomes / Accountabilities
- Assist with the triage of invoices, dashboard management, invoice to PO matching, credit memo applications, voiding of invoice/payment failures, processing of non-order and bulk invoice functions and general accounts payable enquiry responses.
- Assist with the update of relevant policies and procedures.
- Efficiently respond to enquiries and ensure follow up action is taken.
- Ensure accurate processing of invoices and escalating any policy and procedure breaches.
- Assist with changes to existing accounts payable work practices that result in business improvements for the work area.
- Assist with the supplier masterfile process, purchasing cards, payment processing and audit functions.
- Providing general support in the creation of AP reporting and reconciliation activities.
- Providing support when required across the entire AP function and to the Senior Accounts Payable Officer when and where required.
Key Selection Criteria
The key selection criteria emphasise foundational critical thinking, problem-solving, and resilience, along with the ability to collaborate effectively and manage constructive conversations. Candidates must demonstrate basic finance operations capability, including accurate financial processing, reporting, and use of departmental financial systems under supervision. Together, these skills support reliable financial administration and positive team contribution within a structured government environment.
Qualifications and experience
Desirable
- An Accounting, Finance or Economics related qualification.
- Prior Accounts Payable, Accounting or Finance experience in a government environment.
