About the role

*Job Location: Spring Street, Melbourne CBD

The role is responsible for providing expert advice focussed on system and process improvements, to the Manager in the delivery of activities and project work of the Procurement Support Team’s including services for the administration of supplier contracts, the prequalification register and contract management activities.

This role involves high level liaison with internal and external stakeholders and the management of complex issues.

The role will include on-going analysis of the range of systems and tools including CMS (Zycus) Finance system (Oracle), DocuSign (electronic Signature system) and the range of Microsoft system tools, with a view to identifying efficiencies and process improvements.

Position Outcomes / Accountabilities

  • Provide high level co-ordination of the Team’s activities in the administration of supplier contracts, the prequalification application process, contract management activities and project work.
  • Undertake continuous improvement activities of the workflow of tasks through the systems and tools to deliver the administrative activities of the functions of the team.
  • Provide oversight and management of the procurement support systems and tools including, CMS (Zycus) Finance system (Oracle), DocuSign (electronic Signature system), Lotus Notes database, DocuSign and the range of Microsoft suite of applications to support the administration of Team’s activities.
  • Manage complex enquiries through the shared inboxes and respond to correspondence, and queries promptly and sensitively, ensuring effective communication and task management
  • Establish and maintain a strong effective working relationship with key internal and external stakeholders including key suppliers of assessment, finance and systems services.
  • Provide sound advice to key stakeholders on complex matters relating to works contracts, the Prequalification Register, Contract management framework, and DTP Procurement policies.
  • Provide guidance to the team on the range of processes and tasks of the Team.

The successful candidate will build strong stakeholder partnerships, integrate digital and technological capabilities into service delivery, and lead change initiatives through coaching, collaboration and practical implementation. They will also apply outcomes-focused thinking and foster a collaborative culture that drives continuous improvement, knowledge sharing and positive impact across the DTP community.

 

Qualifications and experience

Mandatory

  • Previous procurement experience in government or corporate environment.
