SprayLine Road Services (SRS) is a commercialised branch within the Network Operations Division of the Department of Transport and Planning providing road maintenance services, construction and associated civil works, bituminous spray sealing and line marking to DTP, other state road authorities, municipal councils, and private industry. SRS delivers services locally within the communities and is committed to ensuring quality, innovative and sustainable outcomes. SRS performs a key role as an internal provider to DTP, providing emergency response, maintaining organisational capability and supporting DTP in being an informed purchaser.

About the Role

 

This is a Fixed Term Position until 31 December 2025

 

The Business Support Officers are responsible for delivery of high standard, best practice

administrative and business support to SRS operational teams and depots.

These positions report to the Team Leader, Business Support or Business Support Coordinators and

operate as an SRS-wide team, working closely with Program Support Officers, Team Leaders and Works

Supervisors, as well as with all of the SRS Business and Corporate team.

Business Support Officers are accountable for administrative tasks including but not limited to:

    • Processing timesheets, overtime & TIL and allowances
    • Labour costing, invoicing and accounts payable administration
    • Materials ordering, including uniforms and both general office and operational supplies
    • Purchase Orders
    • Local Facilities and Fleet Administration, including log book administration
    • Office Support and Stationery
    • Accommodation and Travel
    • General administration support

The Business Support Officers work with the Team Leader, Business Support, Business Support

Coordinators and broader SRS Business Support Network to help deliver strategic business

improvement initiatives and ensure compliance with DTP policies and procedures.

Position Outcomes / Accountabilities

  • Exercise independent judgement to ensure project and field records are accurate, training records, timesheets and leave rosters are maintained in line established policies and procedures and advice and information is provided to depot staff in relation to policies and procedures. Collate and verify all job-related quality records.
  • Maintain a physical presence at depots when work crews are in the field to accept deliveries and provide reception services. Provide point of contact and ensure effective communication for operational depot staff.

 

  • Assist with procurement of materials, plant and equipment, processing of asset disposals and undertake stocktakes at depots in line with established policies and procedures. Create detailed and accurate records for Plant and Equipment.
  • Perform duties of accepting deliveries of goods and services made at depots in order to verify quantities ordered and that quality expectations are met within established policies and procedures and monitor same at remote depots.
  • Responsible for a variety of administrative tasks including FBT administration and Corporate Card record keeping, raising of purchase requisitions, maintaining work orders and customer/supplier management including accounts payable/receivable within established policies and procedures.
  • Provide administrative and business support services including preparation of documents, reports, spreadsheets and presentations, meeting and event management, preparing agendas, minutes and ensuring prompt follow up of actions.
  • Provide support to Works Supervisors and Team Leaders with administration support to People Operations, including coordinating training, interviews and paperwork associated with recruitment processes.
  • Health and Safety - Promote and support safe, inclusive and flexible team operations.
  • In line with Section 31A of the Public Administration Act 2004 (Vic) other duties may be assigned consistent with employment classification, skills, and capabilities.

To be successful in this role, the ideal candidate will proactively seek opportunities to innovate and improve processes, while leveraging existing systems to enhance work quality and efficiency. They will demonstrate sound project delivery skills, a basic understanding of business processes, and the ability to manage tasks using appropriate tools and systems. Strong stakeholder management and digital literacy are also essential, as the candidate will need to guide others in using technology effectively and maintain positive, solution-focused relationships with clients and stakeholders.

Qualifications and Experience

Mandatory

  • At least two years’ experience in a similar or comparable role, preferably in a government/public service context.
  • Experience and proficient in MS Office packages, Oracle, MS Teams, SharePoint or other similar administrative tools and systems.
  • Strong stakeholder engagement and influencing skills.
  • Proven ability to be flexible and adaptive in a fast-paced delivery environment.

Desirable

  •  A relevant Business Administration certificate or Diploma.
