Industrial Relations Victoria
Industrial Relations Victoria (IRV) provides strategic industrial relations legislative, policy and technical advice to Government and departments.

IRV develops and reviews regulatory frameworks to support a positive industrial relations environment and fair and productive workplaces, secure work and gender pay equity.  

IRV also oversees industrial relations matters and enterprise bargaining policy and processes across the Victorian public sector. It works towards achieving a positive working environment through engagement with public sector employers, public sector workers and their representatives. 

About the role
The Senior Executive Assistant role will provide high quality secretarial and administrative support to the Deputy Secretary, Industrial Relations Victoria (IRV) Division and other executives within the Division on occasion as required.

The role requires a proactive self-starter with strong skills in communication, organisation and planning, teamwork and stakeholder relations. An ability to work with limited supervision in a complex, sensitive and fast-paced environment is also essential.

 

Key Accountabilities

 

  • Provide high level executive support to the Deputy Secretary including management of complex diaries, correspondence, briefings, meetings and competing priorities.
  • Manage and quality assure documentation, including written advice, briefs and correspondence and meeting materials to ensure accuracy, completeness and timeliness.
  • Implement and manage administrative processes for IRV working closely with other members of the office of the Deputy Secretary and provide leadership to the IRV executive assistant cohort.
  • Provide administrative support across IRV, and other areas of the department, as needed.
  • Build and maintain effective stakeholder relationships with senior executives, ministerial offices, departmental staff, portfolio agencies and external stakeholders, acting as a key point of contact for the Deputy Secretary’s office.
  • Drive continuous improvement initiatives by maximising the use of existing IT, briefing and workflow management systems, identifying opportunities to streamline process and improve office efficiency.
  • Manage sensitive and confidential information with discretion and ensure compliance with department policies, records management requirements, information security obligations and relevant frameworks and processes.
  • Promote and contribute to a positive, inclusive and high performing workplace, fostering respectful and collaborative working relationships, and support a culture of integrity and accountability within the Deputy Secretary’s office and across IRV.
